What to look for
The buying criteria that actually matter
Implementation timeline
Most all-in-ones quote 4–8 weeks. Newer entrants get to live in 2–3. Be honest about how much your operation can absorb up front before signing.
Authorization-aware scheduling
If the scheduler does not enforce hour caps and authorization end dates, you will eventually bill for sessions that cannot be paid. Verify it during the demo, not after.
Billing-engine maturity
Two decades of accumulated payer rules versus two years matters at claim-submission time. NPAWorks and CentralReach win this; newer platforms have catching-up to do, especially on complex Medicaid programs.
Pricing transparency
Quote-only with annual contracts is the norm and skeptical operators should treat it as a yellow flag. Ask explicitly about per-provider rates, contract length, auto-renewal, and what's in the base plan vs. add-ons.
Family-side experience
Most all-in-ones have parent portals that look like third-party SaaS. If the family experience is part of your differentiation, plan to pair the all-in-one with a branded portal layer.
