What to look for
The buying criteria that actually matter
Authorization-aware booking
Generic schedulers do not enforce payer hour caps; ABA-specific schedulers do. This is the dividing line between a Calendly hack and a real ABA workflow.
Recurring multi-staff sessions
RBT delivering service plus BCBA supervising in the same session is a normal pattern. The scheduler needs to model both staff in one entry without doubling up the auth count.
Drive-time and travel handling
In-home agencies pay for drive time. The scheduler should support travel-time blocks or the agency will under-pay or over-pay staff.
Family-facing rebooking
If parents can request reschedules from a portal, the agency saves real admin time. Most all-in-ones support this; few standalone schedulers do.
