What CentralReach does

CentralReach is the largest software platform built specifically for ABA agencies. The product combines clinical data collection, scheduling, electronic billing, learner-progress reporting, and credentialing into a single workspace, with dedicated modules for treatment integrity (ClinicalReach) and learner-centric analytics. It targets mid-to-large agencies that want clinical and revenue-cycle workflows in one platform rather than a stitched-together stack.

The company was founded in 2012 by an ABA agency owner who wanted to replace paper data sheets with a digital workflow purpose-built for behavior analysis. Since then it has grown through both organic adoption and acquisitions — Behaviorsoft, ChartLogic, and others — and is widely used by agencies operating across multiple states. Its training arm, CR Institute, is one of the most extensive training catalogs in the ABA software space.

Who it's for

CentralReach is most defensible at mid-to-large agencies (roughly 20+ providers, multi-state preferred) with at least one dedicated administrator on staff. Solo BCBAs and 1–5 provider clinics often find the implementation cost — measured in time as well as dollars — exceeds the value they'll extract in the first year. Several smaller agencies in our sample reported moving to a leaner platform after 12–18 months.

What stands out

Two things separate CentralReach from category peers. First, the clinical layer is deep: built-in support for VB-MAPP, ABLLS-R, AFLS, and PEAK assessments, with treatment integrity data captured automatically as supervisors review sessions. Second, the revenue cycle module is genuinely integrated — CPT-aware claim generation, authorization tracking with hour-counting, ERA ingestion, and EOB matching are native rather than bolted on. For agencies with internal billing staff, this is a real efficiency gain over running clinical and RCM in separate tools.

The company also benefits from market scale: there is a large peer community, well-developed training, and most consultants in the ABA space know the platform well. That alone shortens the ramp for new admin hires.

Where it falls short

The most consistent operator complaint is implementation. New CentralReach customers describe four to eight weeks of configuration before going live — sometimes longer for multi-site agencies. Sales-driven contracts with annual commitments are the norm, and small-clinic owners regularly tell us they could not get a price from CentralReach without sitting through multiple discovery calls. That friction has spawned a generation of leaner competitors.

The family-side experience is the second weak spot. CentralReach has a parent portal, but it is not branded as the agency — parents log into something that looks like a third-party SaaS. For agencies investing in a premium clinical brand, that feels off. Communication tools (email/SMS templates, automated reminders, family marketing) are also lighter than what dedicated tools offer.

Finally, custom report building and graph configuration have a learning curve that newer BCBAs and admins have flagged in reviews. The platform is powerful, but power is not the same as ease.

CentralReach does not publish pricing. Quotes are based on the number of providers, the modules selected (clinical, RCM, scheduling, learning), and contract length. Annual contracts with auto-renewal are standard. Implementation services are typically priced separately.
