How we ranked these

We score every tool on six axes: clinical fit for ABA workflows, billing and authorization handling, family/parent experience, integration depth, pricing transparency, and support quality. Each axis is rated from public sources, vendor demos, and operator interviews. Tools without first-hand operator feedback are excluded; pricing-on-request tools are flagged.

What to look for

  • Clinical workflow fit. Programs, data sheets, graphs, and session notes that match how BCBAs and RBTs actually work — not a generic practice management product.
  • Billing & authorizations. CPT-aware claim generation, authorization tracking, and ERA/EOB ingestion. Without these, billing becomes a separate tool.
  • Branded family experience. Parents should not need a fourth login to see schedules, sign forms, and pay invoices.
  • Pricing transparency. “Contact for quote” usually means $$$$. Public pricing is a green flag.
  • Independence from any single payer or geography. Tools built for one Medicaid program may not generalize.

Verdict by tool

#1Best ABA-native intake (our product)Our product

GoodABA

Yes, we made this guide. GoodABA's intake module is built specifically for ABA agency workflows — HIPAA-eligible from day one, branded family experience that doesn't feel like a third-party SaaS, signed paperwork that lands directly on the client record, and recurring tasks for the rest of onboarding. For solo BCBAs and small clinics under 20 providers, GoodABA replaces IntakeQ plus four other tools (DocuSign, Forms, email templates, parent portal) in one workspace.

  • Branded family portal that doesn't feel like a third-party SaaS
  • 10-minute setup with no implementation team required
  • Public, predictable pricing — $99/mo Pro with a 14-day trial

Pricing · subscription · from USD 99/mo · 14-day trial, 30-day money-back

#2Best general-purpose healthcare intake

IntakeQ

HIPAA-eligible BAA on the standard plan, healthcare-aware templates, conditional logic, e-sign all in one tool. The right pick when you want a dedicated intake tool that's not ABA-specific and you have a separate clinical platform.

  • Public, predictable pricing with monthly billing — rare in the healthcare intake category
  • Strong conditional-logic form builder with a large template library and clean PDF export

Pricing · subscription · from USD49.9/mo · Forms tier from around $49.90/month; Practice Management (PracticeQ) tier higher. Public, predictable pricing with monthly billing. HIPAA-eligible BAA available.

#3Best for feature breadth and template library

Jotform

Massive template library and strong conditional logic. HIPAA requires the Gold tier; budget accordingly.

  • Massive template library and drag-and-drop builder — agencies can ship a polished intake form in under an hour
  • Strong conditional logic, file uploads, payment fields, and e-signature, all in one tool

Pricing · subscription · from USD39/mo · Free tier available. Paid plans starting around $39/month for Bronze; HIPAA compliance available on Gold tier. Public pricing on website.

#4Best built-in intake when consolidating

CentralReach

Native intake forms inside the all-in-one. Functional but less flexible than dedicated tools.

  • Deep ABA-specific clinical data collection with built-in graphing and treatment integrity tools
  • Integrated CPT-aware revenue cycle management — claims, authorizations, ERAs, and EOBs in the same platform

Pricing · quote-only · Pricing is not publicly listed. Quote-based per provider/seat with annual contracts; vendor reports indicate higher total cost of ownership than category peers, especially for small agencies.

#5Best intake inside a fast-implementation platform

Theralytics

Integrated intake module covers the basics; right when consolidation matters more than form-builder depth.

  • Lower entry pricing than the established mid-to-large players, attractive for 5–20 provider clinics
  • Faster implementation than CentralReach — most agencies report being live in 2–3 weeks rather than 4–8

Pricing · per-user · Per-provider monthly subscription with multiple plan tiers. Pricing has historically been more accessible than CentralReach for small clinics; verify current rates with vendor.

#6Best top-of-funnel inquiry form (no PHI)

Typeform

Conversational format produces higher completion rates for inquiry forms. Cannot handle PHI-bearing intake — Typeform is for the marketing-site form, not the actual intake.

  • Best-in-class design and conversational form experience — single-question-per-screen format that families consistently complete at higher rates
  • Strong logic jumps and conditional branching make complex inquiry flows feel natural

Pricing · subscription · from USD25/mo · Plans start around $25/month. Free tier with response limits. HIPAA compliance is not on the standard plans — Typeform is generally not appropriate for protected health information.
