What IntakeQ does
IntakeQ is a healthcare-focused intake forms and light practice management product. The Forms tier is what most ABA agencies use: a HIPAA-eligible form builder with conditional logic, a large template library, e-signature, file uploads, and PDF export. The PracticeQ tier adds scheduling, charting, and billing, positioning the product as a healthcare EHR similar to SimplePractice.
The company is based in Hamilton, Ontario, and has been operating since around 2014. Unlike most of the ABA-software market, IntakeQ publishes its prices, offers monthly billing, and lets new customers sign up self-serve and be running a real intake form the same afternoon. That accessibility is the single biggest reason ABA agencies adopt it.
Who it's for
The two clearest IntakeQ buyer profiles among ABA agencies are: solo BCBAs who need a fast, professional-looking intake flow without a clinical platform commitment, and small-to-mid agencies whose existing clinical platform has weak forms. In the second case, IntakeQ is added as a parallel tool — intake and document-signing in IntakeQ, clinical data and billing somewhere else.
It is a less natural fit for agencies that want a single ABA-specific workspace. IntakeQ assumes a generic medical-or-behavioral-health practice and does not model BCBA supervision, RBT staffing, learner-program goals, or authorization-aware scheduling. For a 10-provider ABA shop, that gap shows up quickly.
What stands out
The form builder is the standout. Conditional logic is robust, the template library is broad enough to start from a real form rather than a blank page, and PDF export is clean enough to attach to a payer file or an audit packet without reformatting. E-signature is built in and HIPAA-eligible — operators do not need to pay for a separate DocuSign or Dropbox Sign account when IntakeQ already covers consents and BAAs.
Public pricing is the second standout in a category dominated by sales-led motions. A small ABA agency can compare IntakeQ against three peer tools without sitting through any discovery calls and decide on the same day. That single decision can save weeks of evaluation time.
Where it falls short
The biggest gap is that IntakeQ is not ABA-specific. Operators report meaningful customization work when adapting templates: relabeling fields, adding ABA-specific intake questions (referral source, autism diagnosis, prior services, school district), and rewiring the workflow to match how an ABA agency actually onboards a family. Some of that work is one-time, but it is real.
The branded family portal experience is also limited. Custom logo and colors are supported, but the underlying UI still reads as IntakeQ — parents do not feel like they are inside the agency. For agencies investing in a premium clinical brand, that mismatch matters.
Finally, the PracticeQ practice-management tier targets a different market — general behavioral health, not ABA. Agencies considering moving deeper into IntakeQ should know they are buying into a SimplePractice-style EHR rather than a CentralReach-style ABA platform.
