What Mailchimp does

Mailchimp is the most-recognized email marketing platform globally. It does email campaigns, drip sequences, audience segmentation, signup forms, and basic landing pages. For ABA agencies, the typical use cases are referral-source nurture (email sequences to pediatricians, SLPs, OTs), parent newsletters with general agency updates, and prospect-stage follow-up before a family becomes a client.

The product is NOT HIPAA-eligible. Mailchimp does not sign Business Associate Agreements and explicitly prohibits PHI in its Terms of Service. Any clinical information, signed consents, treatment-related messages, or family-specific medical content cannot legally go through Mailchimp.

Who it's for

Mailchimp's clearest fit for ABA is the small-to-mid agency that wants a simple, well-known marketing email tool for non-clinical communications. The free tier covers up to 500 contacts, which handles a meaningful chunk of small-clinic referral-source and prospect lists. Solo BCBAs running occasional newsletters often stay on the free tier indefinitely.

It's less ideal for agencies that want serious marketing automation. The drip sequences and conditional branching are functional but limited compared to Klaviyo. For agencies running sophisticated multi-touchpoint nurture campaigns with branching logic, Mailchimp's automation feels constrained.

It's the wrong tool for any communications that touch PHI. This includes most family-facing communications about a specific client — schedule changes, treatment plan updates, signed consents. That entire workflow needs to live in a HIPAA-eligible tool like GoodABA's communications module or a Workspace/365-with-BAA email account.

What stands out

The accessibility is the biggest practical advantage. The drag-and-drop email builder, large template library, and self-explanatory dashboard mean a non-technical operator can ship a polished first campaign in under an hour. No other ESP gets to first-value as quickly.

The free tier is the second standout. Up to 500 contacts and 1,000 monthly sends is genuinely usable for many small ABA agencies — the typical referral-source list of pediatricians, SLPs, and OTs in a 20-mile radius rarely exceeds 200 contacts. Operators can test the platform indefinitely before paying.

The consultant ecosystem matters too. Almost every marketing-savvy contractor knows Mailchimp; finding someone to set up campaigns, build templates, or troubleshoot deliverability is straightforward. That accessibility lowers the cost of getting external help.

Where it falls short

The HIPAA gap is the most important caveat. Operators routinely confuse "we use Mailchimp for the family newsletter" with "Mailchimp is fine for family communications." It is not. Newsletters about general agency news are fine; anything that references a specific client's treatment, schedule, or progress is not. Mailchimp's Terms explicitly call this out.

Pricing escalates fast as lists grow. Mailchimp's per-contact pricing tiers create sharp jumps at 500, 2,500, 5,000, and 10,000-contact thresholds. Operators who don't actively manage list size end up paying for inactive contacts and then face sticker shock at renewal.

Automation depth is a third trade-off. For straightforward newsletter and broadcast use cases, Mailchimp's automation is fine. For multi-step nurture sequences with conditional branching based on engagement signals, Klaviyo and others do this meaningfully better.

The Intuit ownership has produced slower feature shipping pace, which may or may not matter depending on how reliant operators are on continued product evolution.
