Klaviyo is a modern email and SMS marketing platform with deep segmentation and automation. It started in e-commerce — capturing customer behavior, building targeted segments, sending personalized campaigns — and expanded into broader B2B and service-business use cases over time. For ABA agencies, the typical use cases are formal referral-source nurture programs, parent newsletters with segmentation by demographics or service stage, and integrated email + SMS campaigns.

The product is NOT HIPAA-eligible. Klaviyo does not sign Business Associate Agreements, and the platform is architected around marketing data flows rather than clinical PHI. Any communications referencing a specific client's treatment or care must live in a HIPAA-eligible tool.

Who it's for

Klaviyo's clearest fit for ABA is the mid-size agency (20+ providers) running a formal referral-source nurture program. The segmentation engine handles real-world complexity — segmenting pediatricians by referral volume, SLPs by treatment-coordination history, school staff by IEP-cycle activity — in ways Mailchimp can't match.

It's also worth considering for agencies that want email and SMS in one platform. Klaviyo's unified contact profiles mean a campaign can hit referral sources via email and reminder partners via text without managing two separate tools.

It's less ideal for solo BCBAs and small clinics. The setup time, learning curve, and pricing don't proportion well to a 200-contact referral list. Mailchimp's free tier handles that use case more cleanly.

What stands out

The segmentation engine is the standout feature. Operators can build segments based on email engagement history, custom field values, time-since-last-contact, and arbitrary boolean combinations — the kind of audience targeting that turns a generic newsletter into a real nurture program.

Multi-step automation depth is the second standout. Conditional branching, delay logic, exit conditions, and re-entry rules let agencies build genuinely sophisticated drip campaigns. A "warm referral source" sequence that branches based on whether the recipient opened the prior message is straightforward in Klaviyo and awkward in Mailchimp.

Email + SMS in one tool is the third advantage. Unified contact profiles, shared segmentation, and single-billing simplify what would otherwise be a two-platform setup.

Where it falls short

The HIPAA gap is the same fundamental constraint as Mailchimp. Klaviyo does not sign BAAs. Any client-specific clinical communications must live in a different tool. Operators often miss this in initial evaluation and discover it later — make sure the marketing-vs-clinical email split is clear before deploying.

The learning curve is the second trade-off. Klaviyo's segmentation power requires real setup investment before the first campaign ships. Non-technical operators often need an outside consultant or marketing hire to get value out of the platform; the cost of that help should be factored into total cost of ownership.

Pricing escalates aggressively. The per-contact tiers ramp faster than Mailchimp's at scale, particularly for SMS-bundled plans. Active list pruning is essential — operators who let their contact lists grow without engagement filtering pay disproportionately for low-value addresses.

The e-commerce DNA also shows through in some workflows. Cart abandonment templates, product recommendation blocks, and Shopify-specific automations are built into the platform's UI in ways that feel irrelevant for service-business use cases.
