What Google Workspace does

Google Workspace (formerly G Suite, originally Google Apps for Your Domain) is Google's business productivity suite — Gmail with a custom domain, Drive cloud storage, Calendar, Meet video conferencing, Docs/Sheets/Slides, and admin controls. For ABA agencies, it serves as the email-and-storage backbone underneath everything else: the place where general business email, internal team communication, and document storage live.

The product has been HIPAA-eligible since 2013, with a Business Associate Agreement available through the admin console on Business Standard plans and above. The BAA covers core services — Gmail, Calendar, Drive, Docs, Meet — though some peripheral Google services are explicitly excluded.

Who it's for

Google Workspace is the default for solo BCBAs and small ABA clinics who need a real business-grade email setup but don't want to manage Microsoft Exchange or set up a self-hosted mail server. The user experience is familiar to almost every potential employee, which removes a meaningful onboarding friction.

It's less natural for agencies committed to Microsoft's ecosystem (Office, Teams, SharePoint), where Microsoft 365 will integrate more cleanly. Larger agencies with internal IT often choose between the two based on what their existing infrastructure looks like.

What stands out

The familiarity is the biggest practical advantage. New hires almost always know Gmail and Drive, which means zero training time for the email and storage layer. Calendar integration is genuinely seamless — scheduling, Meet links, and email threading all work out of the box.

The HIPAA BAA is the second standout. Few cloud productivity suites offer healthcare coverage at the small-business price point. Workspace Business Standard at $12/user/month is meaningfully cheaper than enterprise-only HIPAA email options, while still covering the core compliance bases.

The integration ecosystem is also a real advantage. Almost every modern SaaS tool integrates with Google Workspace out of the box — calendar invites, Drive file sharing, Meet links, OAuth sign-in. That breadth saves real time at integration boundaries.

Where it falls short

The biggest operational pitfall is that the BAA isn't automatic. New Workspace customers must explicitly accept the BAA through the admin console — and many small clinics either skip this step or never know it exists. The result is months of operating on a technically non-compliant account that handles PHI without a signed BAA. Any compliance audit will catch this.

Per-user pricing also scales faster than operators expect. A 20-person agency on Business Standard pays $240/month for email and storage before storage add-ons or upgrades, and the pricing has historically increased every 12-18 months.

The personal-Gmail trap is the third pitfall. Personal Gmail accounts (the free @gmail.com ones) are NOT HIPAA-eligible regardless of how many Workspace seats the agency owns. Staff who use personal email for any client communication — even casual scheduling questions — are creating compliance exposure. Agency policy needs to be explicit on this and enforced.

For ABA-specific data privacy, some Medicaid contracts scrutinize cloud vendor practices in ways that make Google's general data practices uncomfortable. Operators with state Medicaid contracts should review the BAA terms and Google's data-handling policies with counsel before deploying.
